How to use Orelis

Step-by-step guides for every module, written for the way real clinics work. Pick a section from the sidebar, or scroll top to bottom to learn the whole product.

Getting started

Set up your practice account, verify your email, and sign in. The whole flow takes about two minutes.

On the home page, click Start 7-day free trial. You'll land on the signup form.

Enter your name, practice name, email, and a password (8 characters minimum, mixed letters and numbers). Pick the plan you want; you can change it later.

We email you a 6-digit verification code. The code expires in 10 minutes; click Resend codeif it doesn't arrive within a couple of minutes (also check the spam folder).

Enter the code. We create your account and your practice and drop you on the dashboard. You're on a 7-day free trial with full Pro access, no card required.

To sign back in later, use the email and password you just registered. Forgot password? Click Forgot password?on the sign-in screen and we'll email a reset link (60 minutes to use, one-time).

Your trial converts to a paid subscription only when you click Subscribe in Settings → Billing. The system will not auto-charge you.

Dashboard

The dashboard is the home base for the practice. Quick links to every module, plus today's key numbers.

Sign in. The dashboard is the first page after login.

The top tiles show today's counts (appointments, encounters, payments) and the trial countdown if you're still in trial.

Use the left sidebar to navigate. On desktop the sidebar can be collapsed to icons by clicking the chevron at the top, and your choice persists across sessions.

The header shows your account dropdown (right side): switch language EN ↔ ES, view profile, sign out.

Patients

Create patient records, search them quickly, and track their full clinical history.

Click Patientsin the sidebar. You'll see the list of all patients in your practice.

Use the search box at the top to filter by first name, last name, or email. The list updates as you type.

Click + New patient. Fill in the required fields (first name, last name, date of birth) and any optional ones (phone, email, allergies, medications, medical history). Save.

Click any patient row to open their profile. Tabs at the top: Overview · Encounters · Photos · Treatments · Reminders · Timeline · Compare.

To edit, click Edit patient in the top-right of the profile. Changes are audit-logged.

Encounters & odontogram

An encounter is a single visit. The odontogram is the visual chart of the patient's dentition, and clicking a tooth lets you record observations.

From a patient profile, click + New encounter. Enter the chief complaint and (optionally) the encounter date.

The encounter screen shows the odontogram on the left and the observation form on the right. Universal numbering 1–32 is shown by default.

Click a tooth to select it. Hold Cmd/Ctrl or Shift and click multiple teeth to select a range.

With teeth selected, use a quick preset (MO composite, MOD composite, sealant, crown, root canal, implant, missing) or open the condition dialog for full detail (severity, surface, notes).

Each saved condition appears below the chart and on the patient's timeline. The tooth-history panel shows every prior observation for the selected tooth.

Upload images for the encounter via the Imagescard (intraoral, X-ray, etc.). They're stored encrypted and tagged for the patient.

Clinical notes

Each encounter has a Doctor's Notes tab for the dentist's narrative and an AI Analysis tab that produces a structured report. You can use either or both.

Open the encounter and switch to the Doctor's Notes tab. Type your clinical narrative directly. Save Draft at any point; click Save and Finalizewhen you're ready to lock it in.

For an AI-assisted version, switch to the AI Analysis tab. The button enables once the encounter has at least one image, observation, or odontogram condition. Click Analyze Encounter.

The AI returns a structured report: summary, image findings (per-tooth or per-region), differential considerations, treatment phases, referrals, patient education points, and follow-up recommendations. It uses the patient's history, the chief complaint, the odontogram, and any uploaded images as input.

Use the report as a second opinion when writing your own note, or click Export PDF to share it with the patient or another clinician. Approved finalized notes can still be edited later by the dentist of record.

The AI never auto-saves anything to the chart. Every analysis is a draft you can review, ignore, or use as a starting point.

Patient explanation

The AI Analysis output already includes a Patient education section: plain-language points the patient can understand, derived from the same analysis the dentist reviews.

On the encounter, run Analyze Encounter from the AI Analysis tab.

Scroll the result card to Patient education points. Copy the points the patient should hear and paste them into an email or a WhatsApp message.

You can also export the entire analysis as a PDF and hand it to the patient. The PDF includes a treatment-phase table the patient can take home.

Voice transcription (Pro)

Dictate notes during the exam, get a transcript and AI summary you can edit and attach to the encounter.

Inside an encounter, click Voice note. Allow microphone access when the browser asks.

Speak your notes. Click Stop when done. The audio uploads (max 25 MB; ~30 minutes of speech).

AssemblyAI transcribes (auto-detects English / Spanish). The transcript appears on screen.

Click Summarize to extract chief complaint, observations, treatment discussed, and follow-up items as structured fields.

Use the summary to pre-populate a clinical note, or save it as-is on the encounter.

AI image analysis (Pro)

Upload an intraoral photo or X-ray and get an AI-assisted reading you can use as a starting point for diagnosis. Always reviewed by the dentist.

On an encounter, upload an image via the Images card and pick the type (intraoral, X-ray, panoramic, etc.).

Click Analyze image. The AI returns findings (per-tooth or per-region) with a confidence indicator.

Review the findings. Promote any to observations on the odontogram with a click; dismiss the rest with a reason.

AI findings are a draft second opinion. The dentist's clinical judgment is the final word; the AI will never insert anything into the patient record automatically.

Appointments

Schedule visits, send reminders, complete or cancel.

Open Appointments in the sidebar. The default view lists upcoming appointments.

Click + New appointment. Pick a patient, date, start and end times, optional notes. Save.

To complete an appointment, click Complete on its row. To cancel, click the trash icon and confirm.

Overlapping appointments for the same dentist are blocked at save time (you'll see a 409 error if there's a conflict).

Treatment plans

Group multiple procedures under a single plan with a total cost and a per-item status.

From a patient profile, open the Treatments tab → + New treatment plan.

Add items: pick a procedure, set the tooth/region, the estimated cost, and any notes. Save.

The plan starts as Proposed. When the patient agrees, click Accept plan; the items become billable.

As you complete each item, mark it Done. When all items are done, the plan auto-flips to Completed.

To bill, click Generate invoice from plan. We create an invoice with one line per non-cancelled item.

Invoices & payments

Bill patients, record payments, mark invoices paid.

Open Invoices. Click + New invoice, pick the patient, add line items (description, quantity, unit price). Set the tax rate if applicable.

Save the invoice. It starts in Draft. To send to the patient, click Issue; status becomes Issued and the invoice is locked from edits.

To record a payment, open the patient's Payments view and create a payment with the amount, method (cash, transfer, card), and date.

From inside the invoice, click Link payment and pick the payment row. The invoice will move to Partially paid or Paid based on the totals.

To void an invoice (only before it's paid), click the trash icon. Voided invoices stay visible for audit.

Money flow

A unified view of money in (patient payments + manual income) and money out (expenses), with category breakdowns.

Open Money flow. The dashboard shows today / this week / this month income, monthly expenses, net flow, and pending receivables.

Categorize: under Categories, create income and expense categories so the dashboards group correctly. Common ones (rent, supplies, salaries) are pre-seeded, and you can add or rename them as you need.

To record an expense, click + Expense. Pick the category, amount, date, payment method, optional description. Future dates are rejected.

To record manual income (cash sales, gift cards, etc.) that's not a patient invoice, click + Income record.

The Transactions table merges income + expenses with filters (date range, type, category). Export to CSV.

Inventory

Track stock of supplies, consumables, and lab materials. Low-stock and out-of-stock alerts surface in the inventory dashboard.

Open Inventory. Add brands and categories first (under their respective tabs) so products can group cleanly.

Click + New product. Fill name, brand, category, unit, current stock, minimum stock, and (optionally) supplier.

To record incoming stock, open the product → + Stock entry. Quantity, reason, optional notes. The current stock increments atomically.

For outgoing stock (used during a procedure), use + Stock exit. The system rejects exits that would drive the stock negative.

The Alerts panel lists products at or below their minimum, plus anything out of stock.

Surveys

Collect feedback after a visit. Create a template once, send shareable links, see results.

Open Surveys+ New template. Add a title, optional description, and questions (rating, text, multiple choice, yes/no).

Click Send on a template, pick a patient, and copy the public link. Paste it into WhatsApp or email; the patient fills it without logging in. Links expire after 30 days.

Click Results to see aggregate response counts, average rating, and individual responses (with patient names and per-question text).

Reports & analytics

Run business reports with date ranges, group by period, export.

Open Reports. Pick a report type (patients, appointments, revenue, procedures, payments, expenses, staff activity).

Set a date range. Reversed ranges (from-date later than to-date) are rejected.

For revenue: pick a granularity (day / week / month). The chart and table update together.

Click Export CSV for raw data, or Export PDF for a printable report.

Pro plan: click Generate AI summary for a written narrative of what the data shows. Helpful for monthly business reviews.

Staff & roles

Add team members to your practice. Three roles: dentist, assistant, admin.

Open Staff (admin only). Click + New staff member.

Enter the email, full name, and role. Set a temporary password; the staff member changes it on first login.

To promote a staff member to admin, click Edit on their row, change the role, and confirm with your own password (admin elevation requires re-auth).

To deactivate, set Active to off. They lose access immediately; their existing records stay attached for audit.

Billing & subscription

Subscribe, switch plans, switch monthly ↔ yearly, cancel.

Open Settings → Billing. The current plan, status, and renewal date are at the top.

To subscribe (or resubscribe), pick the plan and the interval (Monthly, or Yearly which saves 15% on Standard and 20% on Pro). Click Subscribe; we redirect you to Wompi's hosted checkout.

Pay with your card on Wompi. After the payment, we redirect you back here. Your status flips to Active within a few seconds (Wompi sends us a confirmation webhook).

To cancel, click Cancel subscription. Monthly customers keep access until the period end (no refund). Yearly customers see the prorated refund estimate and the request goes to our team. We'll contact you for your bank account and wire the refund manually.

Payment history is at Billing → History. Every paid charge with date, amount, method, and the matching plan.

You're never auto-charged. Each renewal cycle (monthly or yearly) you get reminder emails and click Renew nowto pay. If you don't, access ends after the grace period.
